Limit someone to certain accounts

Let a moderator or manager work only on the accounts you choose, such as one store’s Instagram and TikTok.

By default, everyone in a brand can work on every connected account. You can narrow that for moderators and managers, for example so a freelancer only handles Wildermere on Instagram and TikTok.

Choose their accounts

  1. Open Settings, then Members.
  2. In the Accounts column, select the text in their row (it says Every account until you change it). You can also open the menu at the end of the row and select Choose accounts.
  3. Under Can work on, pick Only these accounts.
  4. Choose the accounts from the list.
  5. Select Save access.

The Accounts column now says which accounts they have, like "Only Wildermere on Instagram and Wildermere on TikTok".

To give them everything again, choose Every account. That also includes accounts you connect later.

What they see

Someone limited to certain accounts only sees those accounts’ comments in Activity, their conversations in Messages, their people, and their numbers in Reports. Everything they do (hiding, replying, sending a message) is limited to the same accounts.

Their role still decides what they can change, within their accounts. A limited manager can edit rules and use Customize for one account on Setup for their own accounts. They cannot change settings that cover every account: About the brand, the Setup switches and guidance, Always ask me about, Happy comments, alerts, integrations, import, WhatsApp templates, billing, API keys, members, and sign-in and security. Those show the line “Only owners, admins and managers with every account can change this.” See Roles and what each one can do.

Things to know

  • Owners and admins always see every account, so there is nothing to limit for them.
  • Only owners and admins can change someone’s accounts. Each change is recorded in the audit log.
  • Making someone an owner or admin removes their limit, since those roles see every account.
  • You need at least one connected account before you can limit anyone to it.
  • New accounts you connect later are not added to a limited person’s list. Add them by hand if they should work on them.
