Public or private?
Answer in public when
Reply in public quickly, even if the real answer comes later. People reading the comments are judging how you treat customers, and silence reads as guilt.
Take it private when
The order itself always goes private. Order numbers, addresses and refunds belong in a direct message or your help desk. Come back to the public comment once it is fixed, if the person is happy.
What never to do
- Never ask for an order number, email address or card details in the comments.
- Never argue about how long it has really been. Apologize, then check.
- Never paste the same reply under twenty complaints. Use their name and their situation.
- Never hide a genuine complaint about a late order. Hide abuse and spam; answer customers.
- Never promise a new date you are not sure of. A second missed date is far worse than the first.
